AAF Memphis is hiring an Executive Director
The mission of AAF Memphis is to inspire, empower and celebrate the local advertising and marketing professionals of our city. The AAF Memphis Executive Director should have experience working in a creative environment and understand how to be nimble in the midst of our constantly evolving industry.
The role of Executive Director (ED) is to serve as the administrator and coordinator of AAF Memphis. The ED is employed by and reports directly to the AAF Memphis President and Board of Directors. This is a part-time position; therefore, duties will not exceed 50 hours/month.
ROLES & RESPONSIBILITIES
Club Management

Support the administrative needs of the President, Board of Directors and Committee Leads as needed

Manage daily communications, including receiving and responding to emails, mail, and phone calls in a timely manner (within 24 hours)

Attend monthly board meetings, record minutes and email to the Board
Financials

Work with accounting firm to provide all required deliverables related to bookkeeping, taxes, bill payments, as well as all records needed for current monthly financial statements and annual reviews

Write checks for reimbursement expenses and payments that require an immediate deposit payment

Manage our membership records and other administration duties in QuickBooks

Ensure President reviews all monthly bank statements
Event Support

Attend all AAF Memphis events, including but not limited to luncheons, happy hours, receptions, conferences, American Advertising Awards (entry in-take, judging weekend and the awards show), and others as needed, being available for pre and post event set-up and take down duties

Collect fees and provide any other back up support at all events, as needed

Coordinate registration, travel and accommodations for speakers, judges and board members as well as necessary conferences
Membership

Send membership invoices via email and mail for annual renewal each month and confirm receipt of dues after invoices are issued

Follow up with statements of past due invoices monthly and update records regularly as membership statuses change

Maintain list of individuals who are interested in volunteering and provide to team leads as needed

Maintain membership roster and prospect list, working closely with the Membership Team Lead

Respond to all membership inquiries that come through aafmemphis.org, including notifying President and Membership Lead, as well as promptly processing payment
Communications

Use Content Management System to update aafmemphis.org, adding news and making copy changes regularly

Provide email marketing and social media support as needed, including writing monthly content for the Club Promotions Committee (Member Spotlights, Job Postings (free and paid), D7 email content, Spotlight Side Hustles, etc)
